Client trip numbers and auto-numbering

Add the client's own trip number so it prints on the invoice, or have CrewRoo create one for every new trip.

Add a client trip number

When you create or edit a trip, fill in Client Trip # (optional) with the client's own number for the trip — "Printed on the invoice so the client can match it." It can be up to 50 characters.

It prints on the invoice as Trip #. It's read from the trip every time the invoice is shown or sent, so you can add it after invoicing and it still appears.

Client trip numbers don't have to be unique.

Let CrewRoo create them (auto-numbering)

Turn this on for a client who doesn't give you their own trip numbers.

  1. Go to Clients and open the client (or add a new one).
  2. Turn on Auto-create client trip numbers.
  3. Check the Prefix — up to 6 letters or numbers. It's suggested from the client's initials.
  4. Tap Update Client (or Add Client).

Each new trip for that client then gets a number in the Client Trip # field, made from the prefix, tail number, two-digit year, and a count — for example RL-N898QS-26-001.

  • The count is per client and starts over each year, based on the trip's start date.
  • The number fills in once you've picked the client, tail number, and start date, and updates if you change them.
  • You can type over it. Only a suggested number you keep uses up a count.
  • Editing an existing trip doesn't renumber it.

Turn the switch off to stop numbering. The prefix is kept, so turning it back on continues the same series.

Not the same as the invoice number
