A trip is one job for one client on one aircraft, over a range of dates. You bill it with a daily rate, and it collects the receipts and mileage for that job.
Create it
- Tap New trip on the dashboard, or go to Trips and tap New Trip.
- Client — pick who you're billing. Don't see them? Choose Add New Client at the bottom of the list.
- Tail Number — appears once a client is picked. Choose a saved tail or add a new one. See Tail numbers.
- Client Trip # (optional) — the client's own reference number for this trip. See Client trip numbers.
- Trip Start Date and Trip End Date.
- Daily Rate — what you charge per day. See Daily rate and per diem.
- Bill Per Diem — turn on to add a Per Diem Rate.
- Flight Legs & RON — optional airports for each day, and overnight stays. See Flight legs and RON nights.
- Notes — anything else. Trip notes are copied into the invoice notes.
- Tap Create Trip.
Create Trip stays greyed out until you have a client, a tail number, both dates, and a daily rate above $0 (and a per diem rate above $0 if per diem is on).
After you save
You land on the trip. From there you can:
- Add receipts with Scan or Upload (shown as Add on phones), or attach ones you already have with Link Existing. See Link receipts to a trip or expense report.
- Add driving with Add Mileage. See Mileage.
- See the Estimated Total: day rate × days, plus per diem, approved receipts, and mileage.
- Tap Create Invoice when you're ready to bill. See Create an invoice.
Only need to be reimbursed for expenses, with no day rate? Use an expense report instead. See Expense reports vs. trips.
